How to change your Entity Type between Individual, Sole Trader, and Company in Gigapay.

This guide explains how to change your Entity Type between Individual, Sole Trader, and Company in Gigapay.


Understanding Entity Types

Your Entity Type determines how your Payouts are processed, what payment methods are available, and what tax information is required.

  • Individual: You work as a private person. Gigapay handles your taxes and social contributions. Available payment methods include Swish (Sweden only), IBAN, PayPal, and bank transfer.

  • Sole Trader: You operate a registered sole proprietorship. You handle your own invoicing and taxes. Swish is not available.

  • Company: You work through a registered Company. Company-specific invoicing and payment methods apply. Swish is not available.


Before You Begin

Agencies cannot change their Entity Type. If your account is registered as an agency, the Change button will be disabled. Contact Gigapay Support if you need to update your Entity Type.

Have the following ready before you start:

  • Your Tax Identification Number (TIN) for your country of residence

  • If switching to Sole Trader or Company: your registered business name, VAT number, and business registration number

  • If switching to Company: your Company's registered address


Step 1: Navigate to Entity Type Settings

You can change your Entity Type in two ways:

Option A: From Settings (no Payout needed)

  1. Click your profile icon in the top right corner (desktop) or bottom right (mobile), then go to Settings.

  2. Scroll to the Entity Type section.

  3. Click Change to open the Entity Type editor.

Option B: From a Payout

  1. When you receive a Payout notification, click the link in the email or navigate to your Payout from your Dashboard.

  2. On the Payout summary page, scroll to the Personal Information section.

  3. Your current Entity Type is displayed under Entity Type. Click Change to open the Entity Type editor.


Step 2: Select Your New Entity Type

A side panel opens with a two-step process.

Step 2a: Choose your new Entity Type:

  • Individual

  • Sole Trader

  • Company

Click Next to proceed.


Step 3: Enter Your Details

The form fields change depending on the Entity Type you selected.

If You Selected Individual

  1. Enter your Tax Identification Number (TIN). The format depends on your country.

  2. Select your primary citizenship from the dropdown.

  3. Optionally add additional citizenships if applicable.

  4. Click Save.

If You Selected Sole Trader

  1. Select your country of business registration.

  2. Enter your registered business name.

  3. Enter your Tax Identification Number (TIN).

  4. Enter your Business Registration Number (if applicable).

  5. Enter your VAT number. For most EU countries, the system shows the expected format (e.g., "SE" followed by 12 digits for Sweden). VAT is optional for Sole Traders in some countries.

  6. Enter your business address (street, city, postal code). You can use the address autocomplete feature.

  7. For USA, Canada, or Australia: select your state or province from the dropdown.

  8. Click Save.

VAT Lookup: If you are an EU-based Sole Trader, click the VAT Lookup button next to the VAT field. This auto-populates your Company name and address from the EU VIES database.

If You Selected Company

  1. Select your country of registration.

  2. Enter your registered Company name.

  3. Enter your VAT number (required for Companies in most countries).

  4. Enter your Tax Identification Number (TIN).

  5. Enter your Business Registration Number.

  6. Optionally enter Additional ID Numbers.

  7. Enter your Company address (street, city, postal code).

  8. For USA, Canada, or Australia: select your state or province.

  9. If your Company has tax obligations in multiple countries, add additional TIN numbers using the "Add" button.

  10. Click Save.

VAT Lookup: Click the VAT Lookup button to auto-populate your Company name, street address, postal code, and city from the EU VIES database.


What Happens After You Change

  • Your payment method options update to match your new Entity Type.

  • If you switched from Individual to Sole Trader or Company, Swish is no longer available.

  • Your updated details may require compliance review (typically 3 to 5 business days).

  • Pending Payouts will use your new Entity Type once verified.


Common Issues

"My TIN or VAT number is not accepted."

  • Remove any extra spaces or special characters.

  • If you are a Company or Sole Trader, your VAT/TIN must be registered for cross-border transactions (EU VIES validated).

  • Check the format hint displayed below the input field.

"I cannot change my Entity Type."

  • If the Change button is disabled, your account may be flagged as an agency. Contact support.

  • If you have already claimed a Payout, some Entity Type changes may require support assistance.

"The address country does not match my residence country."

  • The system shows a warning if your business address country differs from your residence country. This is expected for some Creatives and you can proceed.
